Lose the em—dashes
I keep seeing posts on social media about how easy it is to tell someone has been using ChatGPT or another LLM by the telltale long dashes, which grammar nerds call em dashes. Trivia: an em dash is as long as the letter ‘m’ in a type setting context. Here’s one for reference: —
It’s a pretty easy fix to prevent these from turning up in your proofed prose. Simply add the line 'Never use em dashes in your responses, only use spaced en dashes' to your ChatGPT memory, project or custom instructions.
That way, your responses will always look something like this: The email is nearly finished – I’ll hit send once it is.
Problem solved.
Is it possible to save 2 hours per day with AI?
I've been thinking a lot about automation and AI Agents lately due to the amount of scattered information I seem to have accumulated over the years. Google Docs, Notion Folders, 10 years worth of Gmail, Calendar, and an out-of-control Dropbox folder… the list goes on.
This week I got ChatGPT to do a ‘deep research’ of old issues of The Brief (2016-2019 we worked on individual Google docs) and not only was it a great trip down memory lane, it was also a re-education in some of the topics we were talking about, some evergreen, some not so much. (With a side salad of …”how did we get away with saying some of the things we did!!”)
Broad studies (IDC, McKinsey) paint a reasonable picture of how searching through that stuff contributes to productive time lost: the average professional spends almost two full workdays each week on low-value busywork. Document hunting – roughly nine hours – and email triage – about 13 hours – add up to 22 hours that aren’t directly dollar productive. While these figures come from cross-industry research rather than a real estate-specific census, they serve as solid benchmarks for understanding where our time is spent.
Now that tools like Claude and ChatGPT can integrate directly into our emails, calendars, and document storage, help could be at hand… (and I say could because there are likely privacy issues you would need to navigate)…
But once you have navigated any internal concerns and have a firm AI policy in place, here are some ideas on using these features to help you become more productive.
1. Analysing and gathering internal intel
Imagine having a personal analyst who can review multiple property documents simultaneously and provide you with critical insights, such as risky contract clauses, market trends, settlement deadlines, and potential red flags – all in seconds.
Here's how to set it up:
From your AI chat window, enable Google Drive integration
Upload or organise your property documents in Drive
Use specific prompts to analyse multiple files at once
Receive comprehensive summaries in one place
Possible Real Estate Use Cases:
Contract Analysis:
Find all purchase agreements from this month in my Drive. Analyse them for unusual clauses, extended settlement periods, and flag any contracts with settlement dates within the next 14 days.
Market Research:
Review the market reports for Toorak, South Yarra, and Prahran from the last quarter. Create an executive summary comparing median prices, days on market, and auction clearance rates. Highlight which suburb shows the strongest growth potential.
Property Due Diligence:
Analyse the building inspection, pest inspection, and strata reports for 123 Collins Street. Summarise any major issues and estimate potential repair costs based on the inspector's recommendations.
Client Matching:
Compare the property requirements from the Johnson family's brief with the features of our current listings. Rank our properties by suitability and explain why each property matches or doesn't match their criteria.
2. Transform Your Calendar Into a Dollar-Tracking Powerhouse
Your Google Calendar already knows exactly how you spend your time—now make it work harder for your bottom line.
Start tagging your meetings with keywords like #buyer, #seller, and #admin, and connect them with AI to gain insights that directly impact your income.
Strategic Time Analysis:
Commission Per Hour Tracking:
Analyse my calendar for June 2025. I tag client meetings with '#buyer' for purchaser clients and '#seller' for vendor clients. Calculate total hours spent with each category and, based on my average commission rates ($8,000 buyers, $15,000 sellers), show me my theoretical hourly rate for each activity.
Peak Performance Windows:
Review my showing appointments over the last three months. Identify which days of the week and times of day generate the most property inspections, and suggest optimal scheduling for future showings.
Client Investment Analysis:
Track all time spent with the Wilson family since January. Include meetings, property showings, phone calls, and email time. Calculate if the time investment aligns with the potential commission from their potential sale of $X,XXX,XXX
Automated Reporting for Better Business Decisions:
You could take this calendar idea even further - set up a tool like ChatGPT's Operator to send you a report every Friday. This data becomes invaluable for:

3. Master Your Inbox: From Email Chaos to Lead-Converting Machine
Email integration might transform your Gmail from a source of stress into a strategic advantage.
A Day in the Life of an AI-Powered Agent:
8:30 AM – Strategic Morning Briefing Instead of drowning in overnight emails:
Summarise the most important emails since yesterday afternoon. Identify new property enquiries, urgent client requests, and any time-sensitive matters requiring immediate attention.
Result: A prioritised list of 3-4 critical items, allowing you to tackle high-impact tasks first.
10:15 AM – Pre-Meeting Intelligence
Before meeting the Chang family:
Find all communications with the Smith family regarding their property search. Summarise their requirements, budget, preferred suburbs, and any properties they've already viewed or rejected.
Benefit: Walk into every client meeting fully prepared, demonstrating professionalism and attention to detail.
2:00 PM – Professional Response Drafting
When a complex enquiry arrives:
This email contains multiple questions about the Hawthorn property listing. Help me draft a comprehensive response that addresses all their concerns while highlighting the property's unique selling points. Use a professional but warm tone.
Time Saved: Receive a polished draft that requires minimal editing.
5:30 PM – End-of-Day Action Planning
Be like the great Bob Wolff and plan your tomorrow before finishing your today:
Scan today's emails and create a task list for tomorrow. Include all follow-ups needed, deadlines mentioned, and new leads that require contact within 24 hours.
Result: Start tomorrow with a clear action plan instead of reacting to emails.
So, can you really save 2 hours per day?
The short answer is yes, but only if you're strategic about implementation.
And… here’s the reality check: you won't save 2 hours on day one. Like any system change, there's a learning curve. You'll spend the first week figuring out which prompts work best for your business, the second week refining your processes, and by the third week, you'll start seeing real-time savings.
But here's what makes it worthwhile – those saved hours don't just disappear into thin air. They get redistributed to the activities that actually grow your business:
More face-to-face time with clients (the relationships that generate referrals)
Additional appraisals or auctions (the activity that closes deals)
Strategic prospecting (the work that builds your pipeline)
Market research that keeps you ahead of competitors.
